The Administrative Assistant is the foundation’s public-facing ambassador. Primary responsibilities include greeting visitors, handling telephone inquiries, keeping an eye on building security, coordinating building maintenance vendors, and providing administrative support as needed. This position requires an extremely organized professional with excellent integrity, follow-through, and a special enthusiasm for working with the public and foundation staff. This position reports to the Director of Finance and Administration.

Office Management 75%
• Maintains the office at professional standards of cleanliness and organization
• Provides frontline customer service, to include greeting visitors and answering phone
• Responds helpfully to basic inquiries about the Gill Foundation, in person and via telephone
• Manages reservations for community meeting space and assists users with logistics
• Manage vendors to complete day-to-day building maintenance tasks
• Maintains schedule of all facility and general office vendor contracts
• Maintains weekly inventory of all office supplies and groceries
• Processes incoming and outgoing mail, UPS, FedEx, and courier shipments
• Maintains online postage system (
• Maintains office phone directory and conference room scheduling
• Assists with maintenance of copiers, printers, and other office equipment (IT is primary)
• Other duties as assigned

Administrative Support 25%
• Provides support for finance and administrative team (filing, data entry and other clerical tasks)
• Processes expense reports for designated staff, as needed
• Logs incoming checks and routes to accounting department for deposit
• Codes and approves facility vendor invoices
• Backup for accounts payable processing as needed
• Assists with preparation of staff activities
• Other duties as assigned

• Demonstrated ability to adapt to changing priorities and situations
• Proficiency with Microsoft Word, Outlook, Excel, and PowerPoint
• Advanced data entry skills with basic accounting knowledge
• Experience with calendaring/scheduling for multiple staff
• Ability to work independently and with team members and other senior staff
• Associates degree and/or equivalent administrative support work experience, 2-4 years
• Commitment and enthusiasm for the mission of the Gill Foundation.

Full-time Position: 35-40 hours/week, non-exempt
Starting Wage: $15 – $18/hour
