Receptionist / Administrative Assistant – Blades Lobby

The Receptionist / Administrative Assistant provides a professional and welcoming first contact for visitors and employees, as well as providing administrative and business support for the Brighton Blades Factory.
Greet and welcome customers, visitors, etc. and ensure proper security procedures are followed by signing visitors in, having them read and sign an NDA and Safety Procedures, assign them a security badge, ensure that they have appropriate safety equipment and ensure they are escorted by a company representative.
Make employee and visitor badges as needed.
Ensure Security/Guard Shack is notified of expected visitors, etc.
Arrange internet access for outside visitors/customers.
Distribute and maintain visitor safety equipment (shoes, vests, glasses).
Manage employee uniform program (ordering, repair, resolve employee issues/complaints, invoicing).
Manage fleet of company vehicles (maintenance and repair, licensing and emissions, fuel)
Manage contact lists in Outlook, ensuring that new employees are added and terminated employees are removed.
Act as Communication Emergency Coordinator for fire drills and emergency situations.
Management of all printers/copiers and fax machines (service and maintenance, supplies, etc.)
Book and maintain conference rooms (post daily schedule, clean conference rooms and prepare rooms for customer visits, training, meetings, etc.)
Update appointment and conference room calendars, as required.
Answer, screen and direct incoming telephone calls to appropriate personnel/department.
Receive, sort, and route mail, and maintain and routes publications.
Ensure the reception area is neat and organized.
Demonstrate a professional image at all times, in person and on the telephone.
Assist with social events – Summer BBQs, picnics, Christmas Parties, special events, etc.
Keep up-to-date regarding job openings available at Vestas Blades Brighton and how to handle inquiries.
Provide administrative support to all departments.
Assist in special projects and other duties as required.
High school diploma or general education degree (GED); or six months to one year related experience and/or training; or equivalent combination of education and experience.
Excellent communication, customer service, and organizational skills.
Strong administrative skills.
Experience with Microsoft Office (Excel, Word, PowerPoint, Outlook).
Ability to write correspondence.
Ability to effectively present information in one-on-one and small group situations to other employees of the organization.
Enjoys challenges and finding solutions.
